Prior to arrival at the event, teams will be required to submit significant documentation to the judges highlighting their approach to solving the challenge, detailed information about their robot, and video of their robot in action.
Any information provided to the judges prior to the event will be accessible only to the judging committee and NASA personnel. This information will not be shared with other teams or posted publicly without the consent of the team leader as per the team agreement.
Below is a schedule of critical deadlines for both the teams to submit information to the judging committee and for the judging committee to publish information to the teams. Dates and mandatory on-site time for teams at the event is also outlined. Additional deliverables and deadlines may be added throughout the course of the competition.
25-OCT-2012: Registration Opens
Due monthly (starting 8 months prior to event): Teams must submit a monthly progress report on the 4th of every month. Format for this report will be provided at registration.
11:59 PM on 7-JAN-2013: Early Registration deadline. Any team wishing to register after this point is subject to approval by the judge committee. To complete registration, teams must accurately fill out the online registration form and team bio information, complete a team agreement listing all team members (physical copy required to be received by WPI), and payment must be received.
11:59 PM on 7-JAN-2013: Each team must submit a written proposal documenting the mechanical, electrical, and programming aspects of their robot. This preliminary proposal will include information on motors and sensors being utilized as well as the methodology for implementation and achieving challenge goals. If a team intends on utilizing local frequencies or similar technology it must be highlighted in this proposal. More details on this proposal are below:
The proposal must be submitted via email to firstname.lastname@example.org by the deadline above. A single PDF is the preferred format, but you may include multiple if required for supporting documentation. If you are including any photos or videos in the proposal, please post them on the web (password protected or otherwise as you wish) and provide a link.
Remember that all information provided in and in support of this proposal will remain private and will be accessible only by the Technical Review Committee for the competition. Your intellectual property and any information included is protected by your team agreement and will not be distributed or shared outside of the Technical Review Committee. The information in your proposal will be accessed and used by the Committee solely to evaluate your entry.
The main goal of this proposal is to evaluate the legality of your entry, ensure it meets the standards set forth in the rules, and to be sure competition staff is appropriately prepared to handle your entry in a single- or multi-robot competition run situation. The Technical Review Committee will not be evaluating the feasibility of your design or its potential to secure the prize money. Our goal is to provide you feedback on rules compliance with a reasonable amount of time remaining for your team to address any issues.
Required components of the proposal are:
Description of the general concept of your robot’s operation, including but not limited to,
Communication protocol, frequencies used, etc.
Sensors used for and means of localization, navigation, obstacle avoidance, and sample identification
Description of the safety features/safety plan of your robot, including but not limited to,
Integration of E-Stop and Pause switches on all aspects of your robot and its components
Hazardous materials compliance
As a courtesy to teams, the Technical Review Committee is willing to review any other information or documentation you wish to provide to ensure the legality of your entire entry.
You may provide supporting documentation in any form, including bill of materials, code, drawings, photos, or video.
11:59 PM on 21-JAN-2013: Judge Committee will respond to each team with approval for their design as well as any frequency allowance or allotment to prevent interference.
11:59 PM on 18-MAR-2013: Late Registration deadline. Any teams registering after this date will be directed by judges for the proposal deadline on a case-by-case basis.
11:59 PM on 8-MAY-2013: Teams must submit:
A video of their robot showcasing its abilities.
The autonomous robot features the video needs to demonstrate include:
All portions of the robot intended to traverse the course traversing at least 5 meters
Collection of a competition sample
Traversal of at least 5 meters with the above sample
Return to a starting platform or starting point with the above sample
It is not required or expected that the video be a continuous shot of the above actions or the entire length of a robot run. It is however expected to include at least 60 seconds of robot demonstration.
The video may be submitted in any form that is easily viewable on a Windows or Mac computer.

Upon arrival at the event: Each team must provide a full printout of their robot code along with a schematic of all electrical components for each robot as well as any other documentation requested by the judge committee to aid in the inspection process.
Daily Schedule (subject to change as needed to accommodate for the specific number of teams competing):
8:00 AM on 3-JUNE-2013: Pit area open for teams to arrive, drop-off materials, and work on robots
9:00 AM on 4-JUNE-2013: All teams required to arrive on-site, check-in, and receive their credentials to access restricted areas. Robot inspections begin.
8:00 PM on 4-JUNE-2013: All robots impounded for Level 1 Competition.
7:00 AM on 5-JUNE-2013: Level 1 Competition (weather-permitting).
8:00 PM on 5-JUNE-2013: All robots impounded for Level 2 Competition.
7:00 AM on 6-JUNE-2013 through 5:00 PM on 7-JUNE-2013: Level 2 Competition (weather-permitting).
9:00 AM on 8-JUNE-2013: All teams are required to be on-site to participate and support the public outreach component of the Challenge. Teams must be available to demonstrate their robots and talk with attendees at the K-12 Festival. Pit area will be open to the public.
6:00 PM on 8-JUNE-2013: Team Recognition & Appreciation Dinner
8-JUNE-2013 through 9-JUNE-2013: Weather contingency dates for the competition.
The competition will take place in Worcester, MA
The pit and practice area will be open prior to the event for teams wishing to arrive on site earlier.
The exact dates and times will be announced to teams.
Level 1 will take place 6-11 June 2016. Participants and spectators can expect Level 1 competition on June 7-11th. All on-site teams will participate in event promotion, robot demonstration, and K-12 outreach on June 10-11th.
Level 2 will take place on 2-5 Sept 2016. Participants can expect Level 2 competition on Sept 3-4th (weather-permitting).
In the case of inclement weather, the competition days may be shifted.
